A community exercise session can be welcoming without becoming complicated. Decide whom it is for, what physical activity is planned and whether the location can support it. An instructor brief, participant information and weather plan should be written before invitations go out.
What belongs in a small-session plan?
For an illustrative 20-person beginner movement session, set a 45-minute programme: arrival, warm-up, main activity, cool-down and optional social time. This is a fictional event, not a fitness prescription. Ask an instructor to describe intensity, modifications, equipment, space and the qualifications relevant to the activity. Tell participants what the session involves so they can decide whether to attend or seek personal health advice. Do not claim the event is suitable for every body or medical condition.
If a park is proposed, NParks' event-venue booking page lists triggers that can require a booking, including an event with more than 15 people. Its park etiquette sets expectations for shared spaces. If the session is in a nature area, separate organised group activity rules may apply; check the actual location and activity before advertising. A private studio has its own capacity, access and cancellation rules.
How do you compare instructor and venue quotes?
Give providers the same 20-person size, beginner level, duration, equipment, language, accessibility needs, rain alternative and preferred dates. Ask the instructor who provides mats, sound, first-aid arrangements and a replacement if they become unavailable. Ask the venue about setup time, washrooms, shade, storage, sound limits and rescheduling. A fictional park plan may have lower space cost but higher weather risk; a studio may cost more but offer predictable shelter. Compare the whole participant experience and cancellation liability, not only rent.
Keep registration simple. Ask for information that is needed to organise the session, explain how it will be used and avoid publishing a list of participants. PDPC's data-protection obligations are a starting point for an organiser handling personal data. Do not collect detailed medical histories unless there is a clear, properly managed purpose; direct individual suitability questions to a qualified professional. Our social meetup guide helps make introductions optional, while the sports tournament guide covers a more formal activity schedule.
What happens on the day?
Nominate a host to check the site, weather and instructor arrival. Put a water and break reminder in the opening, and tell participants how to step out without explanation. Have a clear stop decision for rain, heat or unsafe ground and a way to notify registered guests. Afterward, ask for practical feedback on pace, access and timing, then delete information you no longer need according to the organiser's policy. The event registration guide offers a capacity and check-in test for larger sessions.
You can send EventsHub a community-session question for editorial guidance. We do not provide fitness instruction or guarantee a venue or instructor.
Give the instructor a short written decision tree for a late participant, a person who wants a lower-intensity option and an unexpected site closure. It should say who explains the choices and who can stop the session. This is operational planning, not medical screening. Ask participants to tell the organiser privately about access arrangements they need.
Common questions
Can a 20-person park session proceed without checking booking rules?
No. Check the actual location, activity and NParks' current requirements before announcing it.

No. Explain the activity and direct personal health questions to a qualified professional.
What should a rain plan include?
Set the decision time, alternative site or cancellation, notification channel and refund terms.
