A community fundraiser should tell supporters where their money goes and what the event costs. Before booking entertainment or printing a donation QR code, identify the receiving organisation, who can approve spending and which official fundraising rules apply to the specific activity. Do not assume that a well-meant purpose removes permit, disclosure or accounting questions.

What is the event actually raising money for?

For an illustrative 60-person evening, write a one-sentence purpose and a target expressed as gross donations and expected net proceeds separately. The event is fictional. Decide whether tickets buy a meal, include a donation or merely reserve a place, and state that clearly. Ask the intended beneficiary to confirm its identity, relationship to the organiser, payment route and what it will report afterward. Obtain qualified advice on any permit or charity law question before launching; this article does not assert that a particular fundraising approval has been obtained.

If the event uses a park, NParks' event-venue booking guidance gives its own booking triggers and lead times. A private venue will have separate rules. Send venues the same brief with 60 seats, food, sound, stage, donation desk, access needs, setup and end time. A fictional Venue A may offer a low rental but require paid technical staff; Venue B may include sound and service. Compare total expense against a conservative attendance estimate before committing. Our event AV guide helps define sound and technician needs; the party caterer guide gives a food-service quote brief.

How should donation and ticket payments be separated?

Set up an authorised payment route in the receiving organisation's name where possible, with receipts and reconciliation responsibilities agreed. Do not send donors to a personal account without an explicit, reviewable reason and safeguards. Tell supporters whether fees are deducted, when funds transfer and how refunds work if the event is cancelled. CCCS's price-transparency guidance helps frame clear ticket-price statements; charitable-solicitation obligations need a separate official check for the actual campaign. Ask a qualified adviser if the structure is uncertain.

Register only the participant data needed for entry and communication. PDPC's data-protection obligations are relevant when guest or donor details are handled. Do not give sponsor brands a donor list simply because they supported the event. Our event registration guide helps test the form, receipt and check-in journey.

What should supporters hear afterward?

Publish a short, accurate closeout after reconciling ticket income, donations, expenses and transfer to the beneficiary. If the target was missed, say so plainly. Obtain permission before posting identifiable donor or guest photographs. Keep invoices and approvals with the event record. A clear report is more valuable to future supporters than a rounded headline number with unclear deductions. You can send EventsHub a fundraiser-brief question for editorial guidance. We do not operate a charity or collect donations for a partner.

Before announcing a target, make a small reconciliation sheet with ticket receipts, direct donations, supplier deposits, expected remaining costs and the amount the beneficiary will receive if attendance is lower than planned. Name two people who check the final transfer against the records. If a sponsor provides goods instead of cash, record that separately so the public total is not inflated. Ask the beneficiary which wording accurately describes its involvement. Do not use its name or logo on a poster while that approval is still pending.

Common questions

Can an organiser announce a charity beneficiary without its agreement?

Obtain written confirmation of the relationship, payment route and use of its name first.

Is ticket income the same as donations received by the cause?

No. Explain fees and expenses and report the actual net transfer.

Do event-venue rules cover fundraising approval?

No. Check the relevant fundraising obligations for the actual structure separately.
